Two Types of Certified Listings



iCop Email Sender



Once we have completed our assessment, including a review of your mailing practices and that you meet the requirements for listing, your information will be registered in IADB, including your status as an iCop member, designating you as an iCop Email Sender.



iCop Email Sender Listing Requirements


* A member in good standing of iCop.


* You must have all certified domain(s) hosted on
iCop Hosting, or have total control of your own email server.  To see what you get:  MORE >>>


* You must not send unsolicited bulk email.


* Mailings originate from a dedicated static IP address which you control.


* In the case of one to one mailings by the member, the recipient has a pre-existing business relationship with you where the person has expressly agreed to receive emails containing individualized content specific to his or her business account with you, such as e-statements, e-bills, travel itineraries, transaction confirmations, etc.


*** In the case of mailing lists administered by the member, you must have the recipient's consent before doing any mailings.  For the purposes of an iCop Email Sender, consent means the recipient after subscribing has been sent a confirmation notice as described in accordance with the Best Current Practices stipulated by the Internet Engineering Task Force in RFC 3098.  Also, the recipient must be able to withdraw his or her consent at any time.


* Where mailings contain advertisements, you must post a clear and conspicuous notice to consumers at the point of subscriber acquisition, advising potential subscribers that the publication or one to one mailings routinely contains advertisements.


* All mailings must include your company or business name, postal address and telephone number.


* You must have a comprehensive privacy policy posted on your web site that accurately reflects your business practices.  Although not required, it is suggested you include a link to your privacy policy in all mailings.


* You must not use falsified, misleading or deceptive information in either the message header or subject line of any mailings, nor otherwise seek to misrepresent the purpose and message content of any mailings.


* You must have a removal policy for repeatedly bouncing email addresses (the IADB rules applicable to bounce management are acceptable) and an average bounce rate of no more than 5% for mailings to any given mailing list.


* All messages sent must include a functioning opt-out mechanism and you must honor opt-out requests as expeditiously as is technically feasible.


* Email marketing campaign providers: users of your service may not import lists without either: (i) re-verifying to ensure consent; or (ii) in the case of importing lists of a new customer, the previous provider verifies to your satisfaction the list is confirmed opt-in as that term is described above.


* Your mailings and site terms and conditions must otherwise comply with all applicable laws, regulations and rules including IADB rules.


iCop Trusted Email Sender



Once the assessment process is completed, including that all mailings sent from the registered IP addresses are sent on the basis of being verified opt-in, your information will be registered in IADB, including your status as a iCop Trusted Email Sender.



iCop Trusted Email Sender Listing Requirements


* A member in good standing of iCop.


* You must have all certified domain(s) hosted on
iCop Hosting, or have total control of your own email server.  To see what you get:  MORE >>>


* You must not send unsolicited bulk email.


* Mailings originate from a dedicated static IP address which you control.


* In the case of one to one mailings by the member, the recipient has a pre-existing business relationship with you where the person has expressly agreed to receive emails containing individualized content specific to his or her business account with you, such as e-statements, e-bills, travel itineraries, transaction confirmations. etc.



*** In the case of mailing lists administered by the member, you must have the recipient's express consent before doing any mailings.  This means the recipient has validated his or her request to have the specific email address added to a particular mailing list.  By verifying the consent and you are able to provide an auditable record of this consent.  This process is called verified opt-in.  It is understood the recipient may withdraw his or her express consent at any time.

There is no difference in cost between iCop Email Sender and iCop Trusted Email Sender!


Our goal is simply to encourage iCop members to use verified permissions for all mailings.  This will enhance your delivery rates, as well as reduce spam complaints, thereby reducing any chances of extra adminstrative costs.

The ISIPP Accredited Database (IADB) Rules



* Must maintain and consistently enforce zero tolerance for spam being sent from or through any servers or services, regardless of mailing list origin, where the definition of "spam" is that generally understood in the email sending and receiving industries, and includes unsolicited commercial and bulk email.


* Terms of service and/or acceptable use policies must be consistent with the above item.


* Must have in place and consistently apply an email delivery failure or rejection handling policy which, if not the standards advocated by IADB must be designed to ensure that if an email address is consistently or permanently undeliverable it will be removed from any mailing list under sender's control for which such delivery failure or rejection has occurred, and will not be returned to the mailing list until such time as the sender has reasonable cause to believe that the delivery failure would not occur again.


* The standard advocated by the IADB is that you should mark an address as "dead", meaning the sender should remove the address from the delivery list and not attempt to deliver to the address until the sender has reason to believe that delivery rejection would not occur, if the following two conditions are both met:

  • 3 consecutive delivery rejections have occurred; and
  • The time between the most recent consecutive delivery rejection and the initial consecutive delivery rejection is greater than fifteen days.

You should have the capability to manage delivery rejections differently between ISPs, whether based on previous agreements or explicit requests from these ISPs.


* Must have mailing list building, importing, and servicing policies which require some demonstration of consent or permission from whomever has control over a given email address before that email address appears on or is added to a mailing list.


* Any and all commercial mailings must meet the requirements of the CAN-SPAM Act of 2003, whether operating within or outside of the United States, and whether or not legally governed by the CAN-SPAM Act of 2003.


NOTE: COMPLIANCE WITH THE CAN-SPAM ACT of 2003 IS A NECESSARY, BUT NOT SUFFICIENT, CONDITION OF IADB LISTING.
